The Client

PlanetK2 are human performance specialists, developing high-performing leaders that have what it takes to manage exceptional teams that drive businesses forward. The Cheltenham-based company proudly works with clients such as Virgin Media and Adidas, offering a wide range of services covering conference preparation, performance coaching, talent development and culture change.

The Challenge

While PlanetK2 focus on helping people work to their full potential, the team had been experiencing challenges in achieving this same goal in-house. They lacked a centralised platform that could be used across all employees – from performance directors and talent coaches to education experts, sales & marketing professionals, and administrative staff. The organisation was struggling with disparate tools and data silos, and there were concerns about the potential for security vulnerabilities.

We were contacted by PlanetK2’s Admin Support Officer, Lynsey Howells, who had been put in touch with us via Google. Lynsey explained how PlanetK2 had decided to migrate their email hosting from their own server to Google Workspace, and create a centralised platform for everyone to work on.

We were only too happy to help Lynsey and the team achieve just that.

The Solution

We knew just how important a project this was for PlanetK2. We started off with several calls to ensure we fully understood the requirements, and how Innovo would be involved in the process.

After a number of chats, we decided to use CloudM.io to migrate organisational data, and Google Workspace Migration for Outlook for email data. By combining these two powerful tools, we would be able to carry out our plan using software only, with no need for any specialist hardware. This helped to ensure we were able to develop a solution that met PlanetK2’s time and budget needs.

While we hit a few obstacles along the way – such as challenges migrating Outlook for Mac and Mac Mail data, and handling unmanaged accounts – we were successfully able to overcome these issues.

PlanetK2 rely heavily on their tech systems to communicate with clients. We therefore made the decision to copy all existing data in the background without any disruption to day-to-day operations. We completed the switchover at the weekend to ensure minimal downtime and reduced end-user impact.

We ensured that we remained in regular contact with the team in the lead-up to the migration, during the process itself, and for the week directly following the migration. We were on hand to support PlanetK2 staff in the days following the switchover, answering any questions from users, resolving minor issues, and tackling some common teething problems with rapid response.

The Outcome

Within just 3-4 weeks, we had worked closely with PlanetK2 to create a brand new centralised platform, deliver an all-in-one productivity suite, boost security, and improve email hosting.

Starting out, PlanetK2 had a very clear vision of what they wanted to achieve. They just needed the expertise and support of an experienced IT partner. We made it happen, and helped them to develop a more robust, more sustainable technology setup that would empower them to work productively.
