The Client

Pink Spaghetti is a personal assistant service that provides busy organisations with tailored support to help them work more efficiently and productively. Franchises have been launched all across the UK, ensuring businesses have access to local experts that can help them improve their processes. 

The Challenge

While Pink Spaghetti was excelling at helping franchise owners to support their clients and make better use of the tools available to them, the organisation itself was struggling to achieve the same. 

The team had been using Microsoft Office alongside a range of other systems. However, as the company continued to grow, with more franchises being opened up, more tools were being added to the tech stack. And with each new tool came added expense, greater security risks, and an almost unmanageable pool of data that was spread across a variety of different IT systems and applications. 

We were contacted by Pink Spaghetti’s Caroline Gower and Leigh-Anne Pieterse who were keen to bring everything together into a single, comprehensive system to regain control over their data. 

The Solution

Following an in-depth analysis of Pink Spaghetti’s needs – and worries – we proposed Google Workspace as a solution. Caroline and Leigh-Anne admitted that they had little knowledge of what Google could provide them with as a business, so our first step was to deliver a product demo. 

In the demo, we outlined how Google Workspace’s wide range of cloud applications would allow Pink Spaghetti to undertake practically all of their day-to-day activities within a single software suite. We also demonstrated how it would keep all their data together in one place, and make it easy to access from anywhere, at any time. 

Caroline and Leigh-Anne loved the demo, but still had some concerns. Two in particular were big ones. Firstly, the pair needed reassurance that their business-critical data would not be lost during migration. Secondly, they needed to have absolute confidence that business operations would not be disrupted during the process; that services to franchise owners and end users would be unaffected. 

Fortunately, we were able to quash these worries! We decided to use Cloudm.io to copy and transfer data from one system to another. The tool has already been used to deliver more than 75,000,000 successful migrations, moving mail, files, and archives from Microsoft 365 to Google Workspace – and vice versa. It’s widely considered to be one of the best migration tools around. 

In terms of disruption, we promised to work collaboratively, closely listening to the team’s input and working together to co-create an outcome that would facilitate a smooth, streamlined transition. 

The Outcome

In the space of just one month, we proudly delivered on our promise to migrate Pink Spaghetti smoothly and securely from Microsoft 365, and a range of other systems, to Google Workspace.

The migration process went exactly how we expected, with all Pink Spaghetti’s data and emails copied into Google Workspace, and all IT tools and data brought into one simple, accessible suite. 

Caroline and Leigh-Anne reported that the migration had completely changed the way they worked, and how they were able to support the franchise owners within their network. Google Workspace appeared to be ‘smoother and more robust’ than Microsoft 365, and the team felt they had much more control over all aspects of their data, including accessibility, organisation, and security. 

In fact, they loved Google Workspace so much that they’ve since embraced more of what Google has to offer. While Caroline and Leigh-Anne initially had no plans to move away from their previous Intranet provider, they’re now using Google Sites thanks to their positive experience.
